Studio Rental Policies.

Terms of Use

  1. The studio will be not be used for other purposes than what was informed or outlined in the agreement
  2. The Studio can only be rented for legal activities. If it is determined that an illegal activity has been carried out in the studio, the relevant authorities will be notified. If an administrative fine is imposed on A Visual Interpretation (AVI) due to an illegal activity of the Renter, the Renter is obliged to pay this amount to the Host upon the first request.
  3. In the Studio, consumption of all kinds of tobacco products, including electronic cigarettes, is prohibited.
  4. The Studio will be used and left clean by the Renter. The Renter is responsible for removing all garbage or waste produced during their Rental Term. If there is a situation that needs to be cleaned by the cleaning staff, the Renter immediately informs AVI and requests the cleaning staff to be directed.
  5. The Renter takes due care when using the Fixtures, Amenities, and Equipment. Any damage caused by the Renter’s fault in the Property in this list will be recourse to the Renter. If the Renter detects any damage to the Fixtures, Amenities, and Equipment that was not caused by its use, the Renter is obliged to notify AVI immediately.
  6. All furniture, Amenities and Equipment should be returned to its original place at the end of the Rental Term.
  7. Any items brought into the Studio by the Renter should be removed at the end of the Rental Term. AVI is not responsible for any lost/stolen/damaged items from the Renter’s booking.
  8. No nails, screws, staples or penetrating items should be used on the Studio’s walls. Any tape or gummed backing materials must be properly removed. Damages (walls, floors, furniture, etc) will be billed to the Renter’s card on file.
  9. Audio or music playback is allowed at a respectable level. Excessively loud music will not be tolerated in respect to the surrounding buildings/community.
  10. The Renter understands that the Studio has 24/7 video surveillance for liability and security reasons. Recording devices in bathrooms or dressing rooms are prohibited.

Property Ownership

All loaned property shall remain the property of A Visual Interpretation (AVI). The Renter shall return the property to AVI in the same condition as when received, reasonable wear and tear excepted. AVI shall be responsible for the maintenance and repair of all property. The Renter shall immediately return any property requiring repairs or for alternative equipment to be provided.

Property Responsibility

The Renter shall be solely responsible for any loss, damage, destruction, or theft of the property until it is returned to A Visual Interpretation (AVI). If any property is lost, damaged, destroyed, or stolen while this agreement is in effect, the Renter shall advise AVI immediately and shall pay the fair market value of the property. The Renter is responsible for notifying AVI on or before the due date to extend the rental period. AVI may automatically charge the Renter's credit card on the due date if no communication attempts have been made by the Renter.

Damages

Any damages to the property will be assessed to determine whether they are major or minor. Significant damage will require the Renter to cover the full cost of repairs, while minor damages may result in the Renter being charged at least 30% of the total rental booking charge. The Renter will be informed of the assessment and any necessary actions to be taken.

Major damages include, but are not limited to, large holes in walls or doors, burns or tears in furniture and decor, unauthorized paint or wallpaper, broken windows or mirrors, and toilet clogs caused by improper use. Minor damages include, but are not limited to, accidental pet waste, and damaged flooring and walls. The Renter is responsible for promptly notifying AVI of any damages. General wear and tear is not deemed as minor damages.

Liability Waiver

The Renter acknowledges that neither A Visual Interpretation (AVI) nor any of its officers, directors, employees, or related affiliated companies shall be responsible for any personal injuries, death, damages, losses, or expenses incurred by the Renter or any other person resulting from or in any way related to the rental of the property or the use and operation of the property. The Renter hereby waives any and all claims they may have against such parties resulting from this agreement.

Use of Equipment

  • Renter will use the equipment for the purpose for which it was designed and not for any other purpose.
  • Renter will use the equipment in a good and careful manner and will comply with all of the manufacturer’s requirements and recommendations respecting the equipment with any applicable laws, whether municipal, provincial/territorial, or federal respecting the use of the equipment, including, but not limited to, environmental and copyright laws.
  • Renter will not alter, modify, or attach anything to, nor remove anything from, the equipment, unless the alteration, modification, or attachment is easily removable or restorable without damaging the functional capabilities or economic value of the equipment.
  • Renter will not allow the equipment to be used in the rain and will not submerge the equipment in any water.

Payment

The Renter shall provide a 40% retainer after both Parties have signed the Studio Rental Agreement to lock in the rental booking. Upon the Renter’s arrival at the Studio, the remainder of the payment can be made in-person or through the Host’s online payment portal. Invoices outlining the required payments will be sent to the Renter via Notice.

Late Fees

If Host does not receive payment from Renter on the payment due date, then Renter will be charged a late fee of 2% of the outstanding amount per each day that the Host does not receive payment.

Reschedulings

Reschedules can be made with at least 5 days notice prior to the Rental Term. If the Renter reschedules within 5 days of the booking date, a 10% service fee will be applied.

Rescheduling requests will NOT be accepted for no-show reasons. First rescheduling will be free and further reschedules will be charged a 10% service fee.

Cancellations

If the Renter desires to cancel the agreement for any reason at any time, then Renter shall provide the Host at least 5 days Notice prior to the Rental Term for a full refund of the retainer. Cancellations within 5 days of the Rental Term are not eligible for a full refund.

No Shows

If the Renter misses the booking date, any outstanding amount will immediately become due and payable to the Host.

Privacy Statement & Use of Information

Renter will be asked to provide valid government issued photo identification (ex. drivers license, passport, Ontario photo card etc.) which will need to match the information provided on the Studio Rental Agreement. We assure you that all of the information that we capture is held in a secure server and not released to the public. A Visual Interpretation (AVI) is the sole owner of the information we collect. We will not sell, share, or rent this information to others.
